FYI Collaborate - User Guide
Introduction
ATOmate’s integration with FYI Collaborate allows users to process a document using a Portal communication option. The document will be published to FYI Collaborate and the client will receive an email with a link to login and view the document. The document will archive into the FYI Docs as per normal ATOmate functionality.
Who is this guide for?
ATOmate Users in the following roles:
Approver
Reviewer
Fee For Service
Escalation User
Dashboard functionality
When a document is imported into the Dashboard a Portal button will be available to action a document to FYI Collaborate.
To view the Portal template, click Portal and Yes to the prompt
The Portal Template will load ready for processing
Edit and details where needed and select PORTAL to send
Client Experience
The email will be sent to the Client at the start of the next hour to allow the document to be placed into the Client’s FYI Collaborate folder through an automated process.
e.g. a document is processed from ATOmate at 9:15am, the Client will receive their email at 10:00am.
The client will receive their email with the link to log into FYI Collaborate and view the document
The original ATO document and Correspondence PDF are filed into FYI Docs WITH all TFN’s redacted.

Which template shows first in the ATOmate Dashboard?
The Email template is displayed in the queue first
Are Tax File Numbers redacted on the document in the Portal?
Yes, TFN’s are redacted on documents in the same way they are redacted in your Document Management System.
Can I send to multiple recipients?
Yes, however only recipients with FYI Collaborate can access the document.
Does a Client have to be setup in Share Settings in FYI before sending documents via Collaborate?
If the recipient email matches the Email in the Client Details section on the Client - Summary tab, Collaborate will automatically update the client to access the Share Folder. If the email does not match, they will need to be set up in Share Settings beforehand.
If my document is not matched to a Client in ATOmate, can I still send to them via Collaborate?
No, as the document will not match in FYI. We recommend emailing or posting the document to them.
