FYI Collaborate - Super User Guide

Introduction

ATOmate’s integration with FYI Collaborate allows users to process a document using a Portal communication option. The document will be published to FYI Collaborate and the client will receive an email with a link to login and view the document. The document will archive into the FYI Docs as per normal ATOmate functionality.

This feature needs to be enabled by BAW - please log a Support ticket to request activation. There are no additional charges to use this feature in ATOmate.


Note: Your Practice is required to be setup with FYI Collaborate, prior to adding to ATOmate, even if already using FYI Collaborate with your clients.

Part 1 - ATOmate Dashboard Setup

If your Practice uses automated email sending for any document types, this will need to be disabled before proceeding. From the Templates menu > move templates from Notify Clients to either Review Queue or Approval Queue.

From the ATOmate Dashboard, go to Settings > FYI Docs

Click the blue button to Set Up FYI Collaborate Cabinet.

Enter in your Practice's Portal URL (the website that clients use to login to FYI Collaborate).

Click Save at the bottom of the screen.

Step 2 - Template Publishing

From the ATOmate Dashboard go to Templates

Click the blue button at the top to Bulk Publish

This action will publish the Portal version of ATOmate’s default templates.

If you would like to customise the Portal Templates, you can edit them by clicking to Edit on any of the templates. Ensure you have selected the Portal version. Make any changes (please ensure the {PortalURL} is kept in place) then Publish.

Part 2 - FYI Collaborate Setup

Step 1 - Setup a new view for ATOmate Collaborate

In FYI Docs, a new document view needs to be setup for the ATOmate Collaborate Cabinet.

To create the view in FYI Docs, go to Documents > All/

In the Filters menu on the left, ensure only these items are selected in the following sections:

  • Cabinet = ATOmate Collaborate

In the top right of the screen, click on the down arrow menu and choose Save View

  • The name must be exactly: ATOmate Collaborate

Download this file to your computer import into FYI Docs (do not unzip once downloaded):

Go to Automation > All > Processes

Select Import on the right

Browse to the downloaded file

Once imported, a new tile will be created in the Processes menu

Click on the settings wheel on the ‘ATOmate Collaborate Upload’ tile

Do not change any details, switch the Status from Draft to Active at the top

Congratulations! You are now ready to begin sending documents from ATOmate to FYI Collaborate


Frequently Asked Questions

  • Where can I find the Portal URL that Clients use to login?

    • In FYI Docs, go to Automation > All > Apps

    • Click the settings wheel for FYI Collaborate

    • The Portal URL is displayed at the top right of the pop up screen

  • Which template shows first in the ATOmate Dashboard?

    • The Email template is displayed in the queue first

  • Are Tax File Numbers redacted on the document in the Portal?

    • Yes, TFN’s are redacted on documents in the same way they are redacted in your Document Management System.

  • Can I send to multiple recipients?

    • Yes, however only recipients with FYI Collaborate can access the document.

  • Does a Client have to be setup in Share Settings in FYI before sending documents via Collaborate?

    • If the recipient email matches the Email in the Client Details section on the Client - Summary tab, Collaborate will automatically update the client to access the Share Folder. If the email does not match, they will need to be set up in Share Settings beforehand.

  • If my document is not matched to a Client in ATOmate, can I still send to them via Collaborate?

    • No, as the document will not match in FYI. We recommend emailing or posting the document to them.
