Overview of Practice Settings

The Settings menu is exclusively accessible to Super Users.

Please note that these settings are applicable across the entire practice, meaning that any modifications made here will impact all users within the practice.

To access settings in ATOmate, select SETTINGS from the Dashboard from either the top menu bar or from the Settings tile under Practice Settings.

This guide covers an overview of the following generic tabs within Settings:


PRACTICE DETAIL tab

This tab identifies various Practice details with the Agent download link (the Agent is only required for non-cloud DMS). There is no option to update details on this tab.

COMMUNICATION tab

This tab identifies the default sender and associated email signature for the Practice. After making any changes in this tab ensure you click the Save button.

ACCOUNTING tab

This tab identifies:

  • NOA Tolerance Value - maximum allowed variation between the tax estimate and Notice of Assessment. Click in the field to make any changes.

  • Document Overdue After - the number of hours passed since a document either arrived in the Dashboard or since last actioned. It will be flagged as being Overdue after this time. Click in the field to make any changes.

  • Advanced Workflow - set to Yes or No to switch this functionality on/off. Refer to Managing Advanced Workflow for more information.

  • After making any changes in this tab ensure you click the Update button.

SECURITY tab

This tab allows you to change the method of login into ATOmate. There are two options available at present:

  1. Username & Password \ Google - this is the default option. This option requires users to login with their email and password.

  2. Office 365 - this option requires users to login with their Office 365 credentials.

Once users enter their login credentials, they will be prompted for Multi-Factor Authentication (MFA), regardless of the option chosen. This requirement is mandated by the Australian Taxation Office (ATO) due to ATOmate's direct integration with their systems.

If MFA is enabled on an Office 365 account, users must complete two distinct MFA verifications to access ATOmate: first, the Office 365 MFA, followed by the ATOmate MFA.

After making any changes in this tab ensure you click the Update button.

ATO tab

This tab is the first step in setting up the ATO Connector. This is the mechanism that brings down your clients digital ATO documents into ATOmate.

Add your ABN and TAN and produce a SSID. You can use this SSID to complete the connection within the ATO’s Access Manager. For detailed instructions, refer to this guide: Connecting to the ATO

OTHER tab

This tab controls the configuration for how ATOmate handles Tax File Number Registration documents specifically.

It provides the practice with choice on whether the communication to clients should have further password protection. The default option is Yes, but can be switched to No.

The Sender Name, Delivery Instructions and Template Instructions are all editable fields.

Remember to click Update to save any changes.

Additional Tabs

In addition to the generic tabs covered above, there will also be dedicated tabs for your practice’s PMS, DMS, and SuperFund (if integrated with SMSF).
