SuiteFiles Connection Guide

Overview

Without ATOmate, archiving client ATO correspondence is a heavily manual and time consuming process. A major benefit of ATOmate is that it can automatically archive the ATO documents it has processed. For Suitefiles users, this means you should have a significantly reduced need to manually archive items.

For ATOmate to archive these documents directly to Suitefiles, your ATOmate Onboarding Specialist will need important information about how your Practice’s Suitefiles system is structured.

This guide covers how to complete the connection between ATOmate and Suitefiles.

Pre-requisites

  • SuiteFiles credentials

  • Good understanding of the Practice’s current Document Management System setup

Go to ATOmate Dashboard and Practice Settings

Select the SuiteFiles tab

Click on “Connect to SuiteFiles”

Enter your SuiteFiles URL and click Continue

Where ATOmate is unable to match the ATO correspondence to a client in your PMS, ATOmate will need to file the document under a generic client (after processing in to the DMS you can move folders where required). We recommend entering “Unknown ATOmate Client” and then click SAVE.

If you do not enter an “Unknown ATOmate Client” any documents ATOmate processes where it cannot match the client will NOT be archived in your DMS

The connection is now completed

SuiteFiles Folder Structure

Your ATOmate Onboarding Specialist will need to know how you currently file ATO documents into SuiteFiles.

Log into SuiteFiles and expand your folder structure for an Individual client, a Company and Family Group (if Family Groups are used) and email these screenshots back to your ATOmate Onboarding Specialist.

 

SuiteFiles have enforced character conventions on Folder Names that can be updated by ATOmate.

  • Any of these characters %{}”#’.\/:<>\*? will be replaced with an _ (underscore)

    • “1.Client Files” will be replaced as “1_Client Files”

  • Also, & (ampersand) will be replaced with the word “and”

    • Documents & Correspondence will be replaced as Documents and Correspondence
